Thursday 13 August

We were introduced to Arolin from ITSNM, after which we began establishing our workflow and rhythm of work. We discussed how we would coordinate our activities, communicate effectively, and organise tasks to ensure a smooth and efficient working relationship. We also focused on identifying potential areas for improvement, understanding each other’s roles and responsibilities, and exploring practical ways to collaborate more effectively. This initial engagement helped us establish a clear approach to teamwork, strengthen communication, align our expectations, and create a more coordinated and productive workflow for the activities ahead.

Tuesday 25 August

We met with Maitseo at The Specialists Office in Gaborone at 2:00 p.m. to coordinate the upcoming video shoot and establish a clear starting point for the production activities.

During the meeting, we discussed the proposed schedule and the practical requirements needed to begin the shoot. As we were scheduled to be in Gaborone for one week, we also needed to establish a clear work plan and identify the activities that could be prioritised during our stay.

At that stage, however, we had not yet received a confirmed arrangement or detailed schedule for the shooting of the work operations and the PatchPal product, which were key elements we had anticipated covering during the visit. The meeting therefore provided an opportunity to clarify expectations, identify the available resources and shooting opportunities, and determine how best to structure the remaining time.

We focused on finding a practical starting point, coordinating with the relevant team members, and identifying the next steps required to move the video production forward efficiently. The discussion also highlighted the importance of having clear communication, confirmed schedules, access to the required locations and products, and defined responsibilities ahead of future production activities.

Find SOMEONE Who?
Team Engagement Activity

As part of the video preparation and team-building process, we introduced a fun and interactive “Find Someone Who?” game. The activity was designed around light-hearted and amusing questions inspired by the employees’ daily experiences and routines in the office.

Participants were given different funny or relatable questions and had to identify colleagues who matched each description. The questions focused on everyday workplace habits, personalities, funny situations, and common office experiences. This created a relaxed and enjoyable atmosphere while encouraging employees to interact with colleagues they may not normally work with closely.

Video Preparation and Production Activities

We arrived at The Specialists Office in Gaborone at 8:30 a.m. and began preparations for the scheduled video production. The preparation process involved both technical setup and coaching of the employees to ensure that the final videos would be professional, engaging, and representative of the company.

The following activities were carried out:

  1. Room and Lighting Assessment

    • Checked the available lighting in different areas of the office.

    • Identified areas with the best natural and artificial lighting for filming.

    • Adjusted the positioning of the team and filming equipment to achieve clear, well-lit footage.

    • Considered how shadows, reflections, and background elements could affect the quality of the videos.

  2. Camera Angles and Composition

    • Tested different camera angles and positions within the same room.

    • Explored various perspectives to make the same space appear different and visually interesting.

    • Checked framing, background composition, and positioning of employees within each shot.

  3. Office Environment and Background Preparation

    • Reviewed the filming areas to ensure that backgrounds were neat, professional, and free from unnecessary distractions.

    • Considered the placement of furniture, equipment, and other visible office items.

    • Ensured that the overall environment reflected the company's professional image.

  4. Employee Appearance and Outfit Check

    • Checked the employees' outfits to ensure that they were appropriate for the planned videos.

    • Advised employees on colours, presentation, and how their clothing would appear on camera.

    • Ensured that the overall appearance was neat, coordinated, and aligned with the professional image of the company.

  5. Employee Confidence and On-Camera Coaching

    • Guided employees on how to appear natural and confident in front of the camera.

    • Encouraged them to smile, maintain good posture, and project positive energy.

    • Explained the importance of looking happy, confident, and proud to be part of the company.

    • Helped employees become more comfortable with being filmed and reduced nervousness.

  6. Script and Outline Practice

    • Went through the video outlines with the employees before recording.

    • Allowed employees to practise their lines and become familiar with the key messages.

    • Provided guidance on pronunciation, pacing, tone of voice, facial expressions, and delivery.

    • Encouraged employees to speak naturally rather than simply memorising their lines.

  7. Team Engagement Activity – “Who Is Who?”

    • Conducted a fun “Find SOMEONE Who?” activity to help employees interact and become more comfortable with one another.

    • The activity encouraged participation, teamwork, and a relaxed atmosphere before filming.

    • It also helped create more natural interactions and positive energy among the team.

  8. Rehearsals and Positioning

    • Conducted practice runs before filming to establish where each employee should stand or sit.

    • Checked movement, timing, eye contact, and interaction between participants.

    • Made adjustments where necessary to improve the flow and presentation of each scene.

  9. Content and Brand Alignment

    • Ensured that the planned videos reflected the company's professional image, values, and workplace culture.

    • Guided employees on how to communicate their messages in a way that felt authentic while remaining professional.

    • Focused on creating content that would present the company and its employees positively and confidently.

  10. Final Pre-Production Checks

    • Reviewed the filming areas, employee appearance, positioning, lighting, and camera angles before proceeding.

    • Confirmed that employees understood their roles and the expected delivery.

    • Made final adjustments to ensure that the production environment was ready for filming.

Overall, the preparation focused on technical quality, professional presentation, employee confidence, teamwork, and authentic representation of the company. The activities helped ensure that the employees were comfortable and prepared to present themselves naturally and positively on camera.
